Privacy Policy
Placing a caregiver in a family's home means we are trusted with sensitive information about both sides. This policy explains what we collect, why we need it, who sees it, and what you can ask us to do with it.
We collect what the work requires and no more.
Who we are
Trinity Nanny Services, a nanny referral and placement agency in Gaithersburg, Maryland, is responsible for the information described here.
Questions about this policy go to support@trinitynanny.com.
Information families give us
When you request care we collect your name and contact details, your general location, and the details of the care you need: the children involved and their ages, the schedule you are trying to cover, any special needs or health considerations we should match against, and your household preferences.
We collect this because a nanny match that ignores it is a match that fails.
Information caregivers give us
When you apply to work through us we collect your name and contact details, your work history and references, your qualifications and certifications, your availability, and your eligibility to work.
Placement also requires information that is genuinely sensitive: background screening results, and where relevant to the role, certifications such as CPR or first aid, and driving or health information a family needs to know. We ask for it because families are entrusting their children to you, and we handle it accordingly.
Documents and photos
You may send us documents and photographs — certifications, identification, a profile photo. We store them so that we can verify what you have told us and present you accurately to families.
Uploaded files are scanned before they become viewable.
Messages and calls
We keep the emails, messages, and notes about calls that relate to your application or placement, so anyone helping you at the agency can see what has already been discussed and you do not have to repeat yourself.
How we use your information
We use it to screen caregivers, to match families with caregivers, to arrange and support introductions, to administer placements and fees, and to answer you when you contact us.
We do not sell your information, and we do not use it to advertise to you.
What we share, and with whom
Matching means sharing. When we propose a caregiver to a family, the family sees the caregiver's professional profile: experience, qualifications, availability, references, and screening outcome. When we approach a caregiver about a role, they see what the position involves and enough about the household to judge whether it fits.
We share what a fair decision requires — not your full file, and not information that is irrelevant to the match.
We also use service providers who help us operate, such as background screening and communication services, under obligations to protect the information. We disclose information where the law requires it.
All the above categories exclude text messaging originator opt-in data and consent; this information won't be shared with any third parties.
How long we keep it
We keep application and placement records while your relationship with us is active and afterwards for as long as we may need them to answer questions about a past placement or to meet legal and accounting obligations.
When a record no longer serves either purpose, we delete it.
How we protect it
Access is limited to the people at the agency who need it to do their job. Information is stored on services that protect it in transit and at rest, and uploaded files are scanned.
No system is perfect. If something goes wrong that affects you, we will tell you.
Your choices
You can ask us what we hold about you, ask us to correct it, ask us to delete it, or withdraw an application at any time.
Some information has to stay while a placement is active or where the law requires us to keep it, and we will tell you plainly when that is the case.
Children's information
We collect information about children only from the parent or guardian requesting care, and only what is needed to make a safe and suitable match.
Children do not create accounts with us.
Changes to this policy
If we change this policy we will publish the updated version here. The version and date shown with the document tell you which one you are reading.
